The challenge of connecting teams working far from Human Resources
With employees distributed across different locations in Mexico, many of them working directly in cafeterias located inside client facilities, Sistemas de Alimentación manages a naturally decentralized operation.
This structure made supporting each employee’s experience particularly complex. Many people worked far from the central team, and even a simple request could require several intermediaries before reaching its destination. Informal channels, emails, and paper forms were the primary methods used to manage requests.
A loan request, for example, could begin with an employee handing a form to their supervisor, continue with the manager’s signature, and end with the document being physically delivered or emailed to Human Resources. Along the way, a request could be delayed, misplaced, or left pending at any stage.
The challenge was to bring Human Resources closer to a distributed workforce and ensure that processes no longer depended on where each person worked or who needed to intervene to move a request forward.
Humand made it possible to bring many of these processes directly to each employee’s phone.
From multiple intermediaries to direct requests
Today, Sistemas de Alimentación has more than 20 active modules supporting its daily Human Resources operations. The Service Management module is one of the most widely used by employees, centralizing many of the company’s benefits and internal requests.
Through the module, employees can request loans, IMSS certificates, documentation for Fonacot loans, meal voucher card replacements, and other services that previously had to go through supervisors and managers. Requests are now sent directly to the person responsible, while Human Resources can track their progress from a single place.
Other frequently used modules include:
- Time Off: employees can check their available days and submit requests directly.
- Documents: they can access their latest payslip and their complete document history through the platform.
- Internal Communications: updates no longer rely exclusively on informal groups and are centralized within a single platform.
- Service Management: each request is connected directly with the team responsible for resolving it.
- Time Tracking: the company is moving toward a digital, centralized system for recording working hours.
Initially, one of the main concerns was how operational teams and older employees would respond to the platform. However, adoption proved much easier than expected. Today, Humand is part of every employee’s daily routine.
Toward more agile and digital time tracking
Time tracking is now one of the next major steps in this transformation.
Historically, Sistemas de Alimentación used manual logbooks to record attendance. The company later attempted to introduce digital fingerprint scanners, but the software failed to adapt to its needs, and the records were ultimately not used effectively.
Accessing the information required downloading files, uploading them into another program, configuring parameters, and processing the data. The procedure could take hours and was extremely difficult to scale.
With Humand’s Time Tracking solution, the company moved toward a different model: information centralized in the cloud, updated as events occur, and accessible from anywhere, without having to connect multiple systems to generate a report.
This change is even more relevant in light of Mexico’s new labor reform, under which maintaining clear and traceable records of clock-in times, clock-out times, and hours worked will become increasingly important for companies.
