The challenge of managing Vélez

Vélez is an institution that brings together professional and amateur sports, an educational institute with 2,400 students and 283 teachers, and services for more than 10,000 members. Internally, the Human Resources team faced a challenge familiar to any organization with a distributed workforce and a wide range of employee profiles: how to reach everyone with the right information at the right time, without anything getting lost along the way.

Employees are distributed across five locations, bringing together sports coordinators, coaches from different disciplines, doctors, nutritionists, psychologists, maintenance staff, teachers, assistants, and administrative employees.

Communication relied on WhatsApp, personal and corporate emails, and paper. Vacation requests arrived at the office as stacks of documents that were almost impossible to track, there was no attendance management system, and collaboration between the club and the educational institute was limited by fragmented communication channels.

Everything Vélez needed

Vélez was looking for a tool that could centralize its Human Resources processes, adapt to different employee profiles and schedules, and be adopted seamlessly by both administrative employees and coaches working on the field. Humand was the solution that best matched Vélez’s needs.

In just 40 days, the Human Resources team launched Humand. They divided the modules into pairs to speed up the rollout and, with two support meetings per week, successfully worked through each stage of the implementation.

Today, Humand is Vélez’s main Human Resources channel and is embedded in the daily operations of both the club and the educational institute. Some of the most valued modules include:

  • Internal Communications: Posts, events, giveaways, and company updates reach more than 1,100 employees simultaneously. The option to schedule posts keeps communication active even on weekends and public holidays.
  • Time Tracking: One thousand employees clock in through the platform, whether they are at the main headquarters, the Olympic Village, or the sports complex. This represented a major structural change.
  • Time Off: Employees can view their available days in real time and request leave directly through the app, while managers can approve requests immediately.
  • Service Management: What once required calling a colleague who might be off duty can now be resolved through a centralized ticket. The module also centralizes uniform requests, which were previously managed informally and are now organized by size, product, and quantity.
  • Documents: Onboarding documents, forms, contracts, and employee registrations are now fully digitalized.

Beyond efficiency, the impact Vélez emphasizes most strongly is cultural. Previously, the educational institute and the club operated through separate channels, limiting collaboration between two areas that share values, students, and a common purpose. Today, everyone is part of the same community.

A platform that grows alongside the institution

Two years ago, managing Vélez meant juggling multiple channels, tracking down paper documents across offices, and relying on informal communication chains. Today, the club centralizes its Human Resources operations in a single app that reaches everyone, from the operations manager to the coach working on the field, and from the primary school teacher to the sports coordinator.

For Vélez, this first year has shown that, when applied effectively, technology not only streamlines processes but also strengthens the sense of belonging that defines the institution.
