The challenge of communicating in a hotel that runs 24/7
In the hotel industry, operations continue long after the administrative workday ends. While some employees work during the day, others start their shifts before dawn, and many constantly rotate schedules. For Hotel Buenaventura, this dynamic made it especially difficult to ensure everyone received the same information.
For years, internal communication relied on a daily bulletin known as El News, which gathered updates, birthdays, training sessions, and relevant information for the hotel’s operations. Putting it together took time and required many manual tasks from the HR team, from collecting photos and writing news to designing and organizing the content in a document that was then shared through digital channels and displayed on screens and bulletin boards in the hotel’s internal areas.
With Humand, this process became significantly simpler.
Although employees regularly checked these spaces, information didn’t reach everyone in the same way. Those with access to computers and corporate email could receive updates directly, while operational staff depended on physical postings or on their managers passing the messages along.
On top of this, some HR processes still required paper forms, emails, and in-person procedures. Requesting an employment certificate, updating documentation, or managing time off could mean going to an office and waiting for several people to step in.
The challenge was to find a tool that adapted to the pace of hospitality and allowed every employee to stay informed and complete requests from their own phone, even outside administrative hours.
From bulletin boards to a connected community
As part of a shared communication strategy across Grupo VerdeAzul’s hotels, Hotel Buenaventura adopted Humand to modernize its internal channels and simplify people management.
The implementation was supported by the Humand team and required only a few training sessions. Its functionality, similar to the social networks employees already knew, made it easy for them to get familiar with the platform.
One of the most important changes was that information was no longer limited to corporate computers, TVs, and bulletin boards. Today, every employee can access updates from their phone, regardless of the area they work in or their shift.
Among the modules Hotel Buenaventura uses most are:
- Feed: it became the main channel for sharing news, birthdays, recognitions, events, and activities. The traditional News still exists in a shorter format, mainly for training content, while day-to-day updates are posted directly on Humand.
- Documents: employees can check their pay slips on the platform, without relying on emails or having to search their inboxes for documents from previous periods.
- Forms and requests: requests for employment certificates, updates to personal data and ID documents, and bookings for training rooms are managed digitally, replacing paper forms and informal requests.
- Time off: employees can submit requests from the app and send them directly to their managers for approval or rejection. HR receives the information and continues the process without the need for physical forms.
- Org Chart: the organizational structure is updated as new employees join with their respective positions, reducing the manual work previously required to keep it up to date.
- Marketplace: employees use this space to offer their own products and services, from food and handicrafts to refrigeration services. In this way, the platform also creates opportunities for exchange among colleagues.
- Surveys: they make it possible to gather opinions and answers from teams quickly, without having to walk through the hotel’s different areas to ask each person.
These tools allowed Humand to become part of both everyday communication and administrative processes, making information and services easier to access for employees with very different roles and schedules.
More participation and autonomy for every team
One of the most significant changes for Hotel Buenaventura was that communication no longer depended exclusively on HR and administrative staff.
Before, most updates were passed down one way from each area’s manager to their team. Today, all employees have access to the same channel and can actively participate, post content, and interact with their colleagues.
To sustain participation, the hotel developed a communication strategy that combines relevant information with interactive activities. Through trivia, contests, recognitions, and raffles, the HR team encourages employees to log in to the platform and stay up to date.
These activities helped turn Humand into a meeting space that also sparks conversations outside the app. Updates posted on the Feed are discussed in the hallways and among teams, strengthening interaction between people from different areas and shifts.
Communication that keeps pace with hospitality
In an environment where schedules change constantly and not every employee has access to a computer during their workday, Humand allowed communication and internal processes to adapt to the reality of each role.
Today, kitchen and housekeeping staff, as well as administrative and guest service teams, can stay informed, take part in the hotel’s initiatives, and manage their requests from a single place.
For Hotel Buenaventura, the greatest value lies in having democratized access to information and participation.
Humand allowed them to build a community where every employee has access to information, can make their voice heard, and feels part of the organization, no matter where or when they work.
“From the very first moment, I fell in love with Humand. I found in this platform everything I had needed throughout my professional career.”
